We are seeking a dynamic and detail-oriented Live Event Coordinator to join our team. The ideal candidate will be responsible in assisting with planning, executing, and overseeing a special Christmas Event, ensuring that every aspect runs smoothly and meets the expectations of clients and attendees. This role requires an extremely organized person, creativity, and strong communication skills to effectively manage all event logistics from conception to completion. Experience in the Live Event area is a plus, as well as dealing with city permits and regulations. This particular job starts with these hours but may increase as job progresses.
Responsibilities
Exceptional time management abilities to juggle multiple projects simultaneously.
Knowledge of events management principles and practices.
Competence in budgeting for events while adhering to financial constraints.
Outstanding communication skills for effective collaboration with clients and team members.
Strong organizational skills to manage detailed logistics efficiently.
Develop and execute event to-do-list, concepts, themes, and goals in collaboration with clients.
Coordinate all aspects of event planning including venue selection, entertainment, and logistics.
Negotiate contracts with vendors and suppliers to secure the best rates and services.
Manage event budgets, ensuring all expenses are tracked and reported accurately.
Execute marketing strategies to promote events through various channels including social media and email campaigns.
Provide exceptional customer service to clients before, during, and after events.
Oversee on-site event management including setup, execution, and breakdown.
Collaborate with team members to ensure all details are addressed for successful event execution.
Conduct post-event evaluations to assess success and identify areas for improvement.
Skills:
Experience in fundraising for marketing collaborations.
Knowledge of guest services principles within the hospitality industry. Strong negotiation skills to secure favorable terms with vendors.
Proficiency in marketing strategies related to event promotion.
Ability to upsell services effectively to enhance client experience.
Experience in event marketing and planning from inception to execution.
Excellent customer service skills with a focus on client satisfaction.
Familiarity with contracts related to event planning is beneficial.
Background in restaurant or hotel operations can enhance understanding of hospitality needs.
